We’re seeking a talented and experienced Executive / Personal Assistant to provide comprehensive support to our Chief Executive Officer as he leads Certegy’s digital payments transition. As the Executive Assistant, you’ll help optimize our CEO’s effectiveness and efficiency across all aspects of his work and personal life. Duties & Responsibilities

  • Own and drive the CEO’s schedule, meetings/appointments, personal commitments, and travel arrangements.
  • Review, prioritize, direct and delegate a wide variety of complex and confidential requests that are presented for consideration.
  • Coordinate the CEO’s end-to-end travel needs, inclusive of booking travel, hotels, ground transportation, directions, and commute time.
  • Act as a liaison between the CEO and internal departments/external stakeholders, facilitating the scheduling process with friendly professionalism and timely, effective communication.
  • Prepare correspondence, reports, and presentation slides on behalf of the CEO, including correspondence with investors, clients, and partners.
  • Participate in internal and client and prospect-facing meetings to capture and prioritize action items and to ensure appropriate follow-up.
  • Execute a variety of administrative tasks for the larger executive team, including taking meeting notes, proof reading, preparing expense reimbursements, tracking budget expenses, and preparing time sheets.
  • Manage logistics of the Westlake Office – ordering and restocking supplies, liaising with building maintenance and cleaning staff, ensuring a professional office environment.
  • Assist with personal errands and tasks.

Skills & Specifications

  • Vault-like ability to maintain confidentiality and discretion when handling tasks.
  • Mastery of calendar management, specifically utilizing Microsoft Outlook.
  • Highly organized, with exceptional time management skills and ability to prioritize multiple conflicting obligations.
  • Strong verbal and written communication skills.
  • Intuition necessary to transition from responsive support to proactive contributions and ownership for administrative tasks; ability to work independently.
  • Tech-savvy; ability to quickly learn new software and leverage technology to streamline tasks and solve problems efficiently.
  • Flexibility to function well in a fast-paced environment; Occasional evening and weekend work will be required.
  • Ability to navigate multiple personalities and assist in an environment that is often demanding or vague.
  • Technical proficiency with Windows applications and MS Office including Word, PowerPoint, Excel, and Outlook, as well as Apple mobile products including iOS, iPhone, and iPad.

Education & Qualifications

  • A minimum of 3 years’ experience as an Executive and/or Personal Assistant in a private equity, management consulting, financial services, or similar corporate setting, handling both professional and personal tasks.
  • Undergraduate degree preferred but not required
  • Able to withstand deep background, credit, and reference checks.

 

Work Environment: On Site in Westlake, Texas
