At Certegy, we’re helping to change the payments landscape by providing faster and more efficient ways to securely connect retailers and consumers. Our technology provides both traditional and cutting-edge techniques for merchants to accept and verify payments. Our clients include the largest retailers in America, many of which have relied on us for over fifty years to provide payments risk management expertise.

 

We’re seeking a talented and experienced Executive to provide comprehensive support to our Executive Leadership Team (ELT). As the Executive Assistant, you’ll help optimize our ELT's effectiveness and efficiency. This opportunity is ideal for a driven, proactive, and highly organized individual who can anticipate and prioritize the needs of a leadership team. 

 

Duties & Responsibilities

  • Optimize schedules, meetings/appointments, and travel arrangements.
  • Review, prioritize, direct and delegate a wide variety of complex requests.
  • Coordinate travel as needed, inclusive of booking travel, hotels, ground transportation, directions, and commute time.
  • Act as a liaison between the ELT members and internal departments/external stakeholders, facilitating the scheduling process with friendly professionalism and timely, effective communication.
  • Execute a variety of administrative tasks for our ELT, including taking meeting notes, proof reading, preparing expense reimbursements, tracking budget expenses, and preparing time sheets.
  • Manage logistics of the Westlake Office – ordering and restocking supplies, liaising with building maintenance and cleaning staff, ensuring a professional office environment.

Skills & Specifications

  • Ability to maintain confidentiality and discretion when handling tasks.
  • Mastery of calendar management, specifically utilizing Microsoft Outlook.
  • Highly organized, with exceptional time management skills and ability to prioritize multiple conflicting obligations.
  • Strong verbal and written communication skills.
  • Ability to quickly learn new software and leverage technology to streamline tasks and solve problems efficiently.
  • Flexibility to function well in a fast-paced environment; Occasional evening and weekend work will be required.
  • Technical proficiency with Windows applications and MS Office including Word, PowerPoint, Excel, and Outlook, as well as Apple mobile products including iOS, iPhone, and iPad.

Education & Qualifications

  • A minimum of 3 years’ experience as an Executive Assistant in a private equity, management consulting, financial services, or similar corporate setting.
  • Undergraduate degree preferred but not required
  • Able to withstand background, credit, and reference checks.

 

Work Environment: On Site in Westlake, Texas
